Can I request transport as a private individual without a registered business?
Yes, you can arrange transport as a private individual, even if you don’t run a business.
We serve not only companies but also individual customers. If you need to transport something specific — for example, a pallet of goods purchased abroad, furniture, equipment, building materials, or even a machine — we will organize it for you comprehensively and safely.
Here’s what you should know:
You don’t need to have a business to use our services.
Transport is carried out based on a transport contract, and as a private individual, you can pay for the service via bank transfer or instant transfer.
Before the transport, we will provide you with all the details — cost, schedule, and loading/unloading requirements.
Your goods will be covered by our OCP insurance, and if necessary, we can arrange additional cargo insurance.

Where do you source vehicles for my transport?
We have three reliable sources that allow us to find the right truck for you—regardless of the loading location, type of cargo, or delivery deadline.

To join this group, they must meet standards such as:
adequate insurance coverage under OCP,

2. Our Own Carrier Database
Since the company’s inception, we have been building and expanding our own contact base of verified transport companies. Often, these are companies without access to freight exchanges.
We know their capabilities, routes, specialties, and operating regions. This allows us to quickly match a truck to a specific order—often without needing external solutions.

Can I track my shipment?
Of course! If you want to be able to track your cargo, just let us know when placing your order. Not all vehicles are equipped with GPS, so it’s best to mention this requirement in advance — that way, we can assign a suitable fleet that allows real-time tracking of the route.
Additionally, if our cooperation goes beyond a one-time order, you can get access to a client portal. This is a very intuitive and convenient tool that lets you:
easily submit new shipments,
track the route progress (also for vehicles without GPS),
download all transport-related documents — all in one place and anytime.

How far in advance should I request transport?
We don’t have a strict deadline — you can request transport even “yesterday”! We love challenges and almost always manage to find a solution at the last minute. However, keep in mind that the earlier you inform us about your planned transport, the more options we can offer you — both in terms of fleet availability and better pricing.
What does the transport ordering process look like?
We tailor the transport order process to the level of our cooperation and your preferences – the simpler, the better.
At the start, you can send an inquiry in any form: through the website form, by email, or by phone – whatever is most convenient for you. After you receive our offer, just reply with “I order” – and we’ll get to work.
As our cooperation grows and you become familiar with the rates and know that we always look for the cheapest possible solution for you (to which we add a 10% commission), the whole process can become even faster. You can send your transport request by text message, email, or, if you use our client portal, order transport with just two clicks.
In the portal, you can also:

Edit order details (e.g., route, times),

If you prefer to send us a photo of a sheet with your orders planned for the whole month – no problem. We are flexible and adapt to your needs.

Can I cancel transport after placing an order?
Yes, you can cancel the transport at any time – we don’t lock you in with any rigid terms.
However, it’s important to remember that in some cases, canceling the order may incur additional costs. This usually happens when:
The vehicle has already been dispatched from a distant location and is on its way to the loading site,
The driver has arrived at the location and is waiting for loading,
The order is canceled at the last moment without the possibility of finding a replacement load.
In such cases, so-called operational cancellation costs arise, which are related to:
The driver’s working time, during which they could have been fulfilling other paid orders,
Fuel consumption and mileage, especially if the vehicle was called from a long distance,
Lost revenue – when the cancellation happens too late, it’s often impossible to take another load as a replacement.
Before you incur any costs, we will always inform you clearly and transparently. Our goal is not to charge fees, but to ensure mutual respect and understanding of the operational realities of transport.
In the industry, a typical cancellation cost in such cases is around 30% of the freight value – this amount helps compensate part of the carrier’s losses without burdening you with the full cost of execution.
If you have any doubts or the situation is unusual, we are always open to discussion and an individual approach.
Who is responsible for securing the cargo?
Responsibility for securing the cargo depends on the type of load and the arrangements between the parties, but it’s good to know the general rule:
👉 The sender is responsible for properly preparing the cargo for transport — meaning how it is packed, placed on the pallet, wrapped in foil, etc. The sender knows the cargo best and understands how to prepare it safely for the journey.
👉 The driver and the carrier are responsible for the correct placement and securing of the cargo inside the vehicle (i.e., the transport securing). They must ensure the cargo is stable, meets safety standards, and complies with road regulations.
In practice, this means:
If the cargo is poorly prepared for transport (e.g., badly wrapped, unstable, or not matching the declared dimensions), the responsibility lies with the sender.
If the cargo was prepared correctly but was poorly secured in the vehicle and got damaged, the responsibility lies with the carrier.
If you have any doubts, it’s always worth consulting with us — we’re happy to advise and make sure the cargo is properly secured before shipment.
What’s the maximum time allowed for loading or unloading?
Standard loading or unloading time should be up to 2 hours — this timeframe is commonly accepted in the transport industry and included in freight terms.
Of course, in practice, it can vary — the operation time may be extended for many reasons, and similarly, a vehicle may be delayed for loading or unloading due to factors beyond the driver’s control.
We consider a delay to have occurred when the waiting time exceeds 4 hours. If this delay is caused by the loading or unloading side, the carrier has the right to charge an additional fee — usually around €25–30 for each started hour of waiting.
It’s important to emphasize that these amounts are contractual and we always strive to act with mutual understanding. We fully recognize that occasional delays can happen on either side, so our goal is not to impose costs harshly, but to maintain fair and flexible cooperation.
Can drivers load or unload the cargo themselves?
At RELON Logistics, safety, efficiency, and compliance with regulations are our top priorities. Therefore, every situation involving loading or unloading of cargo is considered individually — according to contractual agreements and client requirements.
Standard practice:
Loading and unloading of cargo is carried out by warehouse staff or the client.
Drivers are not required to perform these tasks independently.
Possibility of self-loading/unloading:
A driver may participate in loading or unloading only if:
This has been previously agreed upon and accepted by all parties,

Every carrier we cooperate with holds valid OCP insurance (carrier’s liability insurance). We verify it before starting cooperation, checking the scope of clauses and the guaranteed sum to ensure it matches the nature and value of your cargo.
2. Our own OCP insurance with coverage up to €500,000 – just in case
At RELON Logistics, we have our own OCP policy with a guaranteed sum of up to €500,000 per single event, not cumulative as is often the case with many other companies. This means that regardless of the value of other damages, your shipment is fully protected.
Additionally, our insurance includes a range of extended clauses often omitted in standard policies, whose absence can have serious consequences.
WHAT SHOULD YOU BE AWARE OF IF A COMPANY LACKS THE RIGHT CLAUSES?
Working with a transport or forwarding company without an appropriately tailored policy can result in:
No compensation payout if damage occurs, for example, due to rerouting goods to the wrong warehouse — without the “delivery to unauthorized person” clause, the insurer is not liable.
Total loss of cargo without compensation in cases of fraud or manipulation at the delivery site.

FTL – Full Truck Load
A full-load transport service where the entire vehicle is used for one shipment.
A partial-load or groupage transport service (multiple shipments in one vehicle).
An international monetary unit used for claims under the CMR Convention.
CKZ – Certificate of Professional Competence

What is OCP / OCS insurance and why is it so important?
In cargo transportation – both domestic and international – OCP and OCS insurance play a crucial role in protecting the interests of the client, carrier, and freight forwarder. However, not all insurance provides real security, and the difference between OCP and OCS can determine whether the client will receive compensation in case of damage.
OCP – carrier’s civil liability insurance
This is the most important insurance in the transport industry. It applies to companies that physically carry goods using their own vehicles and drivers.
What does good OCP cover?
Destruction or damage to the cargo
Theft (including partial theft)
Delays in delivery
Road accidents, fires, force majeure
Incidents caused by the driver (e.g. negligence, intoxication)
Misdelivery or release of goods to an unauthorized person
Why this matters:
A good OCP policy – like ours – includes extended clauses and a high coverage limit.
In our case, it’s as much as €500,000 per incident, not a yearly or aggregate limit, as is often the case in other policies.
OCS – freight forwarder’s civil liability insurance
This applies to companies that organize the transport but do not carry it out themselves. It covers organizational mistakes, such as:
Assigning the transport to an unsuitable carrier
Formal errors (e.g. documents, customs procedures)
Lack of proper insurance on the carrier’s side
Incorrect transport instructions
Why is OCP more important than OCS?
In theory, OCS protects the client – but in practice, especially in Poland, it’s often not enough:
🔸It doesn’t cover damage to goods if the carrier was at fault
🔸It doesn’t apply if the carrier disappears with the cargo, has no OCP, or has an invalid policy
🔸Many OCS policies include exclusions, low limits, and don’t cover real transport risks
That’s why in practice, without solid OCP coverage, the client often receives no compensation – even if they worked with a forwarding company that has OCS.
Why are our clients doubly protected?
We only work with carriers that have valid, comprehensive OCP insurance
Additionally, we hold our own OCP policy with a €500,000 limit per incident

Cargo insurance is a specialized policy designed to protect goods during transport – regardless of who is responsible for potential damage, theft, or loss. It is one of the broadest and most secure types of insurance, especially recommended for valuable or fragile cargo.
What does cargo insurance cover?
Cargo insurance protects the owner of the goods directly – usually the sender or the recipient – against the consequences of:
theft (including from locked vehicles or warehouses),
fire, flooding, natural disasters,
damage caused by road accidents, collisions, or vehicle breakdowns,
mistakes during loading, unloading, or reloading,
loss or total destruction of the shipment,
acts of force majeure – which are usually not covered by OCP.
